How I Save OVER AN HOUR a Day and Stay Ahead!

I’m pretty sure I use SmartFlo more than anyone in the world and honestly, I couldn’t imagine my workday without it now. As someone with ADHD who has a packed schedule full of meetings, it’s not just a helpful tool, it’s a game changer. 

Yes, it saves me loads of time and yes it adds a layer of professionalism but more than anything, it’s the consistency that’s transformed how I work. 

9:00AM – Missed Stand-Up, Not Missed Out 

We start every morning with a team stand-up; it’s vital for staying connected, spotting blockers, and syncing on priorities. However today, I had a personal appointment and couldn’t make it. 

Normally, missing that meeting would leave me scanning a transcript or pinging the team to catch up. Not anymore, as by the time I returned to my desk, a SmartFlo summary of the stand-up had automatically been sent to me (and the whole team). Everything important captured and clearly laid out in the format we always use. That alone saved me 10 minutes and kept me fully in the loop. 

11:00AM – Regular Partner Catch-Up 

Next up was one of my regular monthly meetings with one of our lovely partners. As usual, I ran my Regular Partner Meeting SmartFlo template immediately after the call and within minutes, a refined, branded document was ready, summarising the key points and agreed actions.

This meeting was long and intense, a discovery session with a customer where we discussed their pain points and discussed our proposed solution. The kind of meeting that used to leave me scrambling to type up a follow-up before the next one started. 

Now I simply run our Customer Discovery template in SmartFlo and in less than 10 minutes, I had a detailed, branded, professional document ready to send to our customer. No copy and pasting from transcripts, and no trying to remember who said what. This alone saved me 20 minutes. 

4:00PM – New AI Client Prospect 

Final meeting of the day was a potential new customer exploring how to bring AI into their business. We covered a lot, including their needs, our ideas, possible roadmaps. As soon as the meeting ended, I ran our New Customer SmartFlo template. 

Fifteen minutes later, I’d sent them a comprehensive, professional document outlining the discussion and our suggested next steps. Their response came back immediately saying “I can’t believe how quickly you pulled this together and it looks amazing.” 

Another 15 minutes saved, and another great impression made.

• 70 minutes saved 
• 5 branded follow-ups sent 
• Zero stress remembering the details 
• Finished work on time
