The Challenge
EA Technology tackles auditing, compliance, and document approval challenges using SharePoint Online, Power Platform and Microsoft Azure based solution built by iThink 365.
EA Technology are leaders in helping their customers manage their energy assets in the energy and power sector. They have been providing their expertise since 1966.
They have been using SharePoint Online to manage their product documentation but a recent internal audit found issues with the approach which needed to be resolved. Additionally, the system was prone to error and often the engineering team had to work around its short comings.
iThink 365 were brought in to deliver a SharePoint document management solution which would allow them to approve, manage and share their documentation both internally and with their customers and suppliers.
Assets include product manuals, software releases and support manuals. Part of the solution was to improve the quality assurance and make sure that the quality processes were being followed and appropriate quality information being captured during the process.
Another aspect of the solution was to have an automated version numbering system which automatically incremented version numbers as new product manual and software releases are pushed through the system.
The users of the system were engineers running a combination of Linux and Windows workstations and so the solution had to support a multitude of platforms.
The Solution
iThink 365 delivered a document management solution with EA Technology using our delivery process. The system enabled them to meet their challenges and provide a reliable approval process and version numbering system.
The engineers were impressed with the ease of use and the fact that they could use the system on either Windows, Mac, or Linux. A custom approval process was built using Azure Logic Apps which gave the flexibility that was required and ensured that the approvers had all the information that they needed to decide whether to approve, reject or request a change.
The new system was implemented with the migration of data from the old system and metadata fields being mapped to the new system so that the old content could be managed and maintained in the new system along with the latest content.
Azure Dev Ops was used to ensure code was automatically compiled and could be deployed into the UAT and Production environments reliably and quickly.

The outcomes from the system were the following:
- The system enabled the organisation to meet its auditing and compliance requirements.
- Customers, suppliers, and other areas in the business were able to find the latest versions of documents and software releases.
- The system was much more reliable and did not need to be manipulated to work correctly.
- The engineers quickly got used to using the system and it was being used consistently and reliably by the entire development team.
- The teams and approvers can use the system from any location, anytime and anywhere.
- The approvers can review and approve via their phones.
